Throughout 2025, artificial intelligence has been present in virtually every innovation conversation. AI has gone from a promise to an immediate expectation.
However, throughout the year we have seen that the real challenge is not in the technology itself, but in how it is incorporated into the reality of organizations.
AI does not start from scratch
In document environments, AI is not deployed on a blank canvas. It is integrated into existing systems, live processes and complex organizational structures. When approached without this context in mind, the results are often disappointing.
Experience shows that applying AI without a solid foundation can generate:
- Difficult-to-support automations
- Unreliable results
- Feeling of progress that does not always translate into real impact
Technology is advancing fast, but its sustainable adoption requires order and preparation.
Where artificial intelligence does add value
Throughout this year we have seen that AI brings real value when certain preconditions are met:
- The information is structured and governed
- Processes are well defined
- There is clarity on operational and business objectives
In these scenarios, AI can improve efficiency, reduce operational burden and support decision making. Not as a substitute for human labor, but as a lever that reinforces what already works.
AI as a complement, not as a starting point
One of the clearest learnings from 2025 is that AI works best when it is incorporated as a complement to a well-designed ecosystem. It does not solve structural problems on its own, nor does it replace a lack of process definition.
Approaching AI as a starting point often leads to unrealistic expectations. Integrating it when the environment is ready, on the other hand, allows for sustainable and measurable results.
Looking ahead
With this approach, we close a year of much learning and evolution around artificial intelligence. The conversation will continue in 2026, but from an increasingly mature and realistic base.
Because AI is not a goal in itself, but a tool that adds value when integrated with criteria, context and a clear vision of the operation.
