Automation of Accounting Operations
A publishing house specializing in children’s literature had been working with CIM for some time to optimize its internal processes, particularly those related to customer management and the organization of its business operations.
In the initial phase, the project focused on automating CRM-related processes, resulting in greater traceability, organization, and efficiency in sales management. With this foundation now in place, the next step was to address another key area for the company’s day-to-day operations: accounting management.
The Starting Point
The publishing company managed a large part of its accounting operations using spreadsheets. Among the most important processes were:
- Income and Expense Tracking.
- Bank reconciliation processes.
- Generation of pay stubs.
Although this model was functional, it required a significant amount of manual work, which had a corresponding impact on processing times, reviews, and data consistency.
The Solution: Automation of Key Accounting Processes
The goal of the project was not to replace existing tools, but to optimize and automate the most time-consuming processes while respecting the organization’s usual way of working.
To this end, various automation solutions were developed, focusing on three main areas.
1. Automatic conversion of spreadsheets for bank reconciliation
The conversion of income and expense data from spreadsheets was automated, making it easier to process the data and prepare it for bank reconciliation.
Thanks to this automation, the publishing house has achieved:
- Standardize financial information.
- Significantly reduce manual tasks.
- Improve the quality and consistency of the data.
2. Automatic generation of payroll statements
Processes were also implemented for the automated generation of:
- Monthly settlement reports.
- Annual Settlement Reports.
This improvement allows you to:
- Reduce processing times.
- Minimize errors resulting from manual processes.
- Have access to structured information that is updated on a regular basis.
3. Automated search for accounts in the General Chart of Accounts (GCA)
As part of the effort to streamline accounting operations, a system for automatically searching for customer and vendor accounts within the General Ledger (GL) was implemented.
This feature offers direct benefits such as:
- Streamline the accounting posting process.
- Avoid repetitive manual searches.
- Improve the accuracy of account allocation.
Results Obtained
Automating these processes has enabled the publishing house to:
- Reduce the operational burden associated with repetitive tasks.
- Improve the consistency and reliability of accounting information.
- Streamline key day-to-day processes.
- Maintain your usual work model while incorporating greater levels of efficiency.
Conclusion
In organizations like this publishing house, where creative and operational processes coexist, improving efficiency doesn’t always require major changes. Often, the greatest impact comes from optimizing specific tasks that consistently consume time and resources.
At CIM, we support organizations through these types of changes, applying automation where it adds real value, with a practical approach tailored to each company’s specific circumstances.
